PORTFOLIO MANAGEMENT

Clavis can handle the management of several real estate companies and several properties per company.

Properties are divided into sections, which become the rental objects. Each of these sections are registered by area to facilitate joint cost sharing.

Customers, suppliers and account plan

These are registered (preferably with the same ID as in the accounting system) so that Clavis data can be transferred and posted automatically.

Outbound Invoicing

Clavis will register inbound and outbound invoices which can automatically be sent to the customer. All accounting transactions are automatically transferred to the accounting system, eg Axapta.

Inbound Invoicing

Three different types of inbound invoices can be registered:

Costs related directly to the building / company

Costs to be invoiced directly to the tenant

Costs to be distributed as joint costs

Automatic Cost Allocation

Joint costs can be linked to an invoice through distribution keys created by the user. This ensures that the cost is distributed automatically according to this key.

Automatic VAT Settlement

Initial VAT is distributed according to rented area, so that VAT deduction is paid only for the area which is leased. This happens automatically based on registered leases.

Shared Costs

A shared cost account records all expenses as part of the lease and reconciliation of actual costs is automatically performed in the system. This allows for more frequent invoicing of actual costs, and provides an overview of the basis for joint cost per tenant, which can be used as documentation.

Software as a Service

Clavis has been developed as a web application and is software delivered as a Service (SaaS). The solution runs on Windows Azure, a market leading cloud platform from Microsoft.  As a customer, choosing a cloud-based solution eliminates the need for any local servers or software installation; The entire system runs through a standard web browser.  Server capacity can easily be scaled up or down based on usage patters and data volume as required and all operational routines such as system backups, version upgrades etc. are handled by your provider so you can focus on your business.
